A like-for-like comparison, sourced and dated.
The short answer
Velastria and ClinicOffice are both UK practice management systems, and they are built on different assumptions. ClinicOffice offers a local install as well as cloud hosting, on a one-month rolling contract, with prices given by an on-site calculator. Velastria is cloud-only with published per-clinic pricing from £35 a month. Velastria has moved a multi-site surgical group off Clinic Office.
ClinicOffice (Pioneer Software Ltd) figures are taken from pioneersoftware.co.uk/co-pricing, read on 22 August 2026. Vendors change their pricing and packaging; check the source before relying on it. Velastria figures come from our own pricing page and migration records.
| Velastria | ClinicOffice | |
|---|---|---|
| Deployment | Cloud only. Runs in any modern browser, hosted on AWS in the UK, with each clinic in its own isolated database schema. | Cloud Hosted or Local Install — the pricing calculator offers both as subscription types. |
| Published pricing | Listed on the pricing page: £35 Solo, £75 Pro, £250 Business, £950 Enterprise, per clinic per month. | No base price listed. The pricing page provides a calculator driven by subscription type and number of licences, and a sales number for a quote. |
| How you are charged | Per clinic. Solo covers 2 users; Pro and above are unlimited users. | Per licence, with the count entered into the calculator. Additional web users are stated at £5 per month, the first being free. |
| Support and online services | Included on every plan. No separate support tier. | Premium Support and Online Services are stated as included with HOSTED subscriptions, and as £15 and £10 per month respectively on LOCAL INSTALL subscriptions. |
| Contract term | Monthly. Upgrade or downgrade at any time, effective from the next billing cycle. | Stated as a one-month rolling contract with 30 days’ notice to cancel. |
| Try before you buy | 30 days free, full access, on any plan, plus a live demo of every tier pre-loaded with sample data. | A free demo is offered, stated as testable on Windows, with Mac users asked to call sales. |
| Migration evidence | A completed migration off Clinic Office for a multi-site surgical group: 35,161 patients, 187,963 appointments, 50,301 invoices, 49,605 payments, 182,928 documents (133 GB), 11,990 patient notes, 4,628 GP contacts and 38,230 questionnaire responses. | — |
Anyone can claim a switch is easy. Every figure in the last row of that table is counted from the migration ledger after the import finished — the record of what actually landed, reconciled row by row. None of it is read off a log line or estimated from a feature list.
See how switching from ClinicOffice works →Yes, in full. A multi-site surgical group moved across with 35,161 patients, 187,963 appointments, 50,301 invoices, 49,605 payments and 182,928 documents totalling 133 GB. Questionnaire responses were rebuilt as real, reportable questionnaires rather than dumped as text.
It is the main practical decision to make. ClinicOffice offers a local install; Velastria does not, and runs only in the browser. What you get in exchange is UK AWS hosting, per-clinic schema isolation, backups and updates handled for you, and access from any device without a VPN or a machine in the building.
No. Imported appointments and invoices are loaded so that the automations which would normally react to them — confirmations, reminders, review requests, balance chasers — cannot see them. Importing 187,963 appointments into a live system without that protection is the migration failure that damages a clinic’s reputation rather than its data.
They import as historical financial records rather than live accounts. Your history stays complete and searchable, and it does not become debt the new system starts chasing.
The mapping and the match report take days, because that is where the care is needed. The import itself runs in a single pass. You keep working in ClinicOffice until your switch date, and it stays available read-only afterwards while history imports.
